Business Services

As your firm grows, the admin piles up. We replace the systems you have outgrown and automate the repetitive work.

We cut the cost, the busywork, and the wasted hours out of how your firm runs every day.

Designing for real operational workflows

As a firm grows, its tools get messy. Your people spend their day copying data between systems and chasing updates. We take that work away:

  • Bring scattered tools into one system that fits how you work
  • Automate the repetitive jobs
  • Give everyone the right access for their role
  • Keep one set of numbers everyone can trust

The result: less time on admin, and a business that does not fall over when one person is away.

From old and expensive to simple and modern

Most firms still run on spreadsheets, email, and old tools you have outgrown, and that cost shows up every month. We fix it without breaking anything you rely on:

  • Sort out the messy process before building anything new
  • Drop tools that overlap and put that money back in your pocket
  • Replace old systems bit by bit, so service and income are never at risk
  • Roll it out in stages, so you control what you spend

When the tool stack becomes the job

A growing services firm accumulates software: Xero or MYOB for the ledger, HubSpot or Salesforce for the pipeline, Employment Hero or Deputy for people, monday.com, Asana or Jira for the work, SharePoint for the documents, and a spreadsheet holding the parts none of them cover. Each one is defensible on its own. Together they mean your team re-enters the same client details four times and month-end reporting is a manual assembly job. CodeFish builds the connective layer, and replaces the spreadsheets that quietly became load-bearing — so the reporting builds itself and your people spend their time on client work.

How firms like yours work with us

Every one of them starts with a Rapid Insight Workshop: a paid session that maps your operation and hands back a prioritised roadmap. What you do next depends on what it finds.

Apex

We stay embedded and work through the roadmap with you month after month, clearing the manual reporting, the double entry and the tools nobody likes. One monthly fee, measured against results we agree at the start. From $15K a month, six-month minimum term.

Amplify

One build, scoped in writing before anything starts, then quoted at a fixed price against that scope. A one-year warranty, and the code and the IP are yours. Typically $100K and up.

Ignite

Prove one workflow tool works before you roll it out to the whole firm. Fixed price, $25K to $50K, and working software in four to eight weeks — enough to test it with real users before you spend more.

Questions business services firms ask us

Yes. Consulting, finance, logistics, and operational service businesses are core to what we do. The common thread is a firm that has scaled faster than its systems and is carrying the cost of that in manual work and disconnected tools.

With a short, senior mapping workshop that maps your operational picture, systems, costs, friction, and the highest-value opportunities, and hands back a prioritised roadmap. It tells you where to move first and what it is worth before you commit to a build. From there you either test one idea first (Ignite), build one thing at a fixed price and own it outright (Amplify), or keep us on to work through the roadmap with you month after month (Apex). We will tell you honestly which one fits.

Yes. Incrementally and safely. We rebuild the process underneath, deploy changes through testing, and ship in stages so there is minimal to no service disruption and you keep control of spend and risk.

Either works. We can build one thing, fixed price, and it is yours to keep. Or, if you want us to keep improving your operation over time, we stay on as an ongoing partner (we call that Apex) and work through your list month after month. Both start with a Rapid Insight Workshop, and we will tell you honestly which one fits you.

Yes, and that is usually the brief. Most firms do not need new tools; they need the ones they have to stop being islands. We integrate through the APIs those platforms publish, so client and job data flows once instead of being typed repeatedly.

It is a risk worth naming rather than a failure. Spreadsheets are quick and flexible, which is why they end up carrying real process — and then only one person understands the formulas and there is no audit trail. We rebuild that logic as software without losing the flexibility your team relied on.

Yes, the aim is to work alongside your practice management system, not replace it. Accounting firms tend to run on Xero Practice Manager, FYI or APS, and law firms on LEAP, Actionstep or Smokeball. Those systems handle jobs, matters, time and billing well. The hours go on what sits around them: onboarding forms, conflict checks, engagement letters, and reports pulled out to Excel every month. We connect to the practice system through its API, read and write the records it already owns, and build only the missing piece. Your staff keep the screens they know, and the double entry stops.

Software you own usually costs more up front and less over time than a per-seat subscription, but only for the right job. Per-seat pricing is cheap for a team of 10 and expensive at 80, and the bill rises every time you hire or the vendor reprices. Software you own has no seat fee: you pay for the build, the hosting, and the upkeep you choose. The honest test is the workflow. If a SaaS product does the job at a fair seat price, keep paying for it. Build where you are paying for seats to work around a tool, or where nothing on the market fits how your firm bills and reports.

Yes, the rollout is planned around your calendar, and busy season is the first thing we ask about. For an accounting firm that usually means staying clear of the run-up to 30 June and the 31 October tax return deadline. For a legal or consulting firm it is the months when partners are billing hardest. We build and test outside those windows, run the new process with a small group alongside the old one first, and move the rest of the firm across in a quiet month. Nothing your client work depends on is switched off until the replacement has run cleanly through a full month-end.

Month-end becomes a review of numbers that are already assembled, instead of days spent copying them in. Time is recorded against jobs in your practice system, so work in progress and unbilled time are visible while the month is still running. Invoices draft from that time and post to Xero or MYOB without retyping. Debtors, utilisation and job margin reports build from the same records, so the partners meeting starts from one set of figures. The person who used to chase timesheets and reconcile spreadsheets spends the last days of the month on the exceptions: the job running over budget, or the client who has not paid.
